Who we are

This policy explains how Labor Mobility Partnerships ("LaMP", "we", "our", "us") collects, uses and shares personal information through our website at lampforum.org (the "Site"), our services, and our events, including Global Workforce Xchange 2026 ("GWX26"), held in Nairobi, Kenya on December 2 to 3, 2026 (collectively, our "Services").

Global Workforce Xchange is an initiative of LaMP. LaMP operates through two organizations, which are jointly responsible for your personal information:

  • Labor Mobility Partnerships Inc, 712 H Street NE, Suite 1902, Washington, DC 20002, United States, a tax-exempt nonprofit organization under section 501(c)(3) of the Internal Revenue Code with public charity status described in section 509(a)(1)
  • Labor Mobility Partnerships gGmbH, Raum für solid. Miteinander, Paul-Lincke-Ufer 21, 10999 Berlin, Germany

For GWX26 participants: by registering for and attending GWX26, you acknowledge that LaMP will photograph and film the conference and share your name, title and organization with other registered attendees, as described below. You can opt out of either at any time by emailing events@lampforum.org. Opting out will never affect your registration or your ability to attend.

Information we collect

Website and sign-ups. Our registration forms ask for contact information such as your name, email address, organization, interests and similar details.

Correspondence and job applications. If you contact us or apply for a job, we may keep a record of that correspondence, including your contact details, interests and related job information.

Events. If you are invited to or attend a LaMP event, we may keep your name, email address and a record of your interest in that event and topic. For in-person events such as GWX26, we may also collect:

Nationality, travel datesVisa invitation letters, flights and hotels (only where you request this support)
Dietary and accessibility requirementsCatering and venue arrangements

Sensitive data. Dietary and accessibility information can reveal health or religious details. We collect it only if you choose to provide it, use it only to make arrangements for you, and share it only with the caterer or venue that needs it.

Participants under 18. Anyone under 18 must register for an event with the written consent of a parent or legal guardian, which we will request separately.

How we use your information

We use your personal information to:

  • Contact you and respond to your inquiries
  • Send you newsletters, topic updates and event invitations, at your request
  • Send fundraising solicitations
  • Register you for events and arrange your participation, travel and logistics
  • Document our events and promote LaMP's work through our communications
  • Maintain, operate, customize and improve our Services
  • Comply with the law and maintain our security
  • For other purposes we tell you about when we collect or use the information

We do not use automated decision-making or profiling. If we intend to use your information for a purpose beyond the one it was collected for, we will tell you in advance.

Photography, video and recording at our events

LaMP and its contracted photographers and videographers take photos and video, and may record or livestream sessions, at our events, including GWX26. This covers plenaries, breakout sessions, networking events and receptions.

We use this material during and after the event in LaMP's communications, including:

  • Our website, social media channels and newsletters
  • Reports to donors, funders and partners
  • Event summaries, publications and materials promoting future LaMP events
  • Session recordings published online

We do not sell photos or recordings, and we do not use them to suggest that you personally endorse a product, organization or political position.

Featured use. Before using your image prominently in paid advertising or alongside a quote attributed to you, we will ask for your explicit permission.

Speakers and panelists. We will confirm your agreement to record or livestream your session, and to publish your name, title, biography and headshot, separately before the event.

Opting out. If you opt out, we will give you a visible identifier, such as a lanyard or badge marker, at registration so our team knows not to photograph or film you. Wide shots of large rooms may still capture people incidentally; we will not feature opted-out attendees in them, and will remove or blur any image of you on request where we can.

Attendee lists

To help delegates connect, we share an attendee list with everyone registered for GWX26, and may do the same for other events. The list includes only your name, job title and organization. It never includes your email address, phone number or other contact details unless you choose to share them.

Your name, title and organization will also appear on your event badge, and speakers' details will appear in the published agenda.

We share attendee lists only with registered participants, and ask them to use the list solely for networking connected to the event, not for bulk marketing.

Who we share information with

We do not sell your personal information. We share it only with:

  • Service providers working on LaMP's behalf, such as event venues, hotels, travel agents, caterers, our registration platform and our IT providers, who may use it only for these purposes
  • Kenyan immigration authorities, where you request a visa invitation letter for an event in Kenya
  • Other registered attendees, limited to the attendee list described above
  • Authorities, where the law requires it or to protect our security

International transfers. We process and store personal information in the United States, using Microsoft SharePoint and other secure systems. If you are outside the United States, including in Kenya or the European Economic Area, your information will be transferred there, where privacy laws may differ from those in your country. We protect these transfers with safeguards recognized under the Kenya Data Protection Act 2019 and the EU General Data Protection Regulation (GDPR), such as standard contractual clauses with our service providers.

Where the GDPR (for people in the European Economic Area, the United Kingdom and Switzerland) or the Kenya Data Protection Act 2019 applies, we rely on these legal grounds:

ActivityLegal basis
Event registration, payments, logistics, travel and visa supportPerforming our agreement with you
Responding to inquiries; operating and improving our ServicesLaMP's legitimate interests
Event photography and video for communications; attendee listsLaMP's legitimate interests in documenting events, reporting to funders and helping participants network, balanced by your right to opt out at any time
Newsletters, updates and fundraising emailsYour consent, or our legitimate interests where the law allows, with an unsubscribe option in every email
Featured use of your image in advertising or quotes; speaker recordings; dietary and accessibility dataYour explicit consent, which you can withdraw at any time
Records required for tax, audit or immigrationCompliance with legal obligations

Where we rely on legitimate interests, we have considered your rights and expectations, limited the data used, and made opting out simple.

How long we keep your information

We keep personal information only as long as reasonably required for the purposes it was collected for. We decide this based on statutory retention periods, our contractual or working relationship with you, any potential disputes, and guidance from data protection authorities. After that, we routinely delete it.

For events, we keep full registration data for [24] months after the event. After that, we keep only a permanent record in our contact database that you attended, with your name, title and organization, to maintain LaMP's event history and our relationship with past participants. You can ask us to delete this record at any time.

Photos and recordings may be kept in LaMP's archive for historical and communications purposes unless you ask us to remove them.

Your choices and how to opt out

Emails. You can unsubscribe from our emails at any time using the link in any LaMP email, or by emailing info@lampforum.org.

Events. To opt out at GWX26 or another LaMP event, email events@lampforum.org with the subject line "GWX26 opt-out" (or the name of the event). Tell us your full name, organization and which of the following you want to opt out of:

  • Photography and video: not to be photographed, filmed or featured in recordings
  • Attendee list: not to have your name, title and organization shared with other attendees
  • Any consent you gave: for example featured use of your image, a speaker recording, or dietary or accessibility data

For the GWX26 attendee list, please email by October 31, 2026 so we can remove you before it is first shared. Photography opt-outs received by October 31, 2026 will have their identifier ready at registration. You can also tell any LaMP staff member at the registration desk during the event.

You can opt out at any time, including after the event. We will confirm by email within [5] working days. Opting out stops future use; it cannot recall printed material already distributed, or digital content that others have already downloaded, shared or republished, but we will remove content from channels we control where reasonably possible.

Your rights

Depending on where you live, including under the GDPR and the Kenya Data Protection Act 2019, you have the right to:

  • Be informed about how your information is used
  • Access the personal information we hold about you
  • Correct or erase your information
  • Restrict or object to our use of it, including use based on our legitimate interests
  • Receive your information in a portable format, or have it sent to another organization
  • Withdraw consent at any time, where we rely on it

To use any of these rights, email info@lampforum.org, or events@lampforum.org for event-related requests. We will respond within [30] days. In some circumstances, for example where the law prevents us, we may be unable to fulfill a request, and we will tell you why.

If you are unhappy with how we handle your information, you can complain to the data protection authority in your country of residence, such as the Office of the Data Protection Commissioner in Kenya.

Other websites and social media

Our Site links to other websites, which LaMP is not responsible for. Their privacy policies may differ from ours, so please read them.

The Site may include social media tools or plug-ins from third parties. If you use them, those companies may collect information about you and use or share it according to their own policies and your account settings, including publicly.

Changes to this policy

We may update this policy at any time. We will post changes on this page, and the date at the top shows when it was last revised. For significant changes affecting an upcoming event, we will also tell registered attendees by email.
